RMS Warns; Be in the Driver Seat When
Deciding on Your Software Solution

2009 – Most companies understand they need help when looking at investing in a
software solution. The real question is
where they turn for help? If they turn
to a software sales team before they are “ready”, they could be making a very
big mistake.
“Unfortunately, I have seen this happen too often” says Rod Sherr,
CPA, President/CEO of Resource Management Solutions (RMS), A California
Corporation. “Many companies do not
understand the protocol of selecting the right software application solution
for their organization. They do spend
time on researching what might work best for them but many neglect the first
step to take before contacting the software vendors.” Sherr goes on to say that companies that give
up the driver seat to a sales team may have already lost the battle. You do need to invite the dog a pony show to
your boardroom but the timing of this must be correct. If the vendors are invited in too soon, there
may be promises made that cannot be fulfilled and your company may end up
paying for a lot of customizations to get the software to perform the way you
need it to.
Sherr recalls a very large client of his who made the wrong
decision in their software purchase prior to hiring RMS. The ground work was not completed prior to
the software vendor’s invitation and one was selected based on their very low
price. As a result, our client required
well over 150 customizations to the software to get it to perform
adequately. Our client made a very big
mistake and they still don’t have the functionality they want. Due to the numerous customizations, this
implementation took longer to complete and don’t even think about an
upgrade. This organization has decided
to live with an inferior product and will eventually have to select a new
solution. Hopefully next time they will
call us first, Sherr adds.
RMS has a solution for this madness. RMS works with their clients to discover business
objectives and requirements also called a “needs assessment”. Sherr tells his clients “you need to know
where you are before you can determine the path of where you need to go”. By determining what their client’s “current
state” looks like, they can then move forward to determine what their “future
state” needs to look like or include.
Once current state is defined and documented along with business
requirements, a company is ready to write their requirements in the form of a
request for proposal. This is then
submitted to the public and is the formal invitation for companies to give a
proposal and address each requirement that their client must have. Once the proposals are reviewed then the
client can determine which vendors to invite to the party.
Sherr also says, “the RFP process may not be required depending on
whether you are a public or private entity and also if you all vendors are
known and there are only a few out there.”
You can skip the RFP issuance and move right to the party
invitations. Sherr says to make sure you
get all of your questions answered, do not leave anything unturned. A good software salesperson will be able to
show you a live scenario of any areas you have a question about functionality. If they can’t show you an example of how
their software performs during their presentation, don’t think that it will
magically if you decide to implement their solution. Sherr urges companies to spend the time
necessary to prepare for their software selection and be ready to ask the
software vendors the tough questions. By
following these steps, a company can greatly reduce the risk of
underperformance and project risks.

RMS Begins the Process of Congregating
the Best of the Best Under One Umbrella

2009 – Resource Management Solutions (RMS) successfully
advocates and implements various technology software applications with the
highest degree of quality and success.
According to their President and CEO, Rod Sherr, the reason for their
success is due to the quality of their people.
Mr. Sherr goes on to say that over the eight plus years they have been
in business, nearly one third (1/3) of their client implementations have been
“rescue” projects. Mr. Sherr defines
rescue as a project that is well on its way to failure. “Projects should not have this high of a
failure rate, this happens way too often”.

Mr. Sherr goes on to describe what this missing piece is. He says “the way to succeed with a large
implementation project is twofold.
First, and most importantly, you need to know the people (not just the
company) you invite to your business who are going to implement your
solution. I have seen top companies
sub-contract out to other smaller companies work that the client assumed the
large company was going to do but since they lacked the manpower to provide
their own people and did not want to lose the project, they simply hired a
third party to fulfill their contract.
Many times this goes undisclosed to the client”. In one particular case where this happened,
the project was a total failure and had to be scrapped. The company had to select new implementation
consultants and the project had to start over from square one. The second reason Sherr says that most
projects fail is because they fail to plan (enough). Mr. Sherr describes an implementation
timeline using a yardstick. Most projects
that fail, rush into the implementation phase of a project and planning is
shortened. You might say that one foot
of the yardstick represents the planning phase of these projects and two feet
the implementation phase. RMS’s projects use an
opposite approach they will spend up to 2/3 of their time on the planning phase
where they will work out most of the gaps before moving on to the
implementation phase. This helps the
implementation phase go much smoother and with fewer surprises.
RMS has taken this “missing piece” of project success and has
created an organization where an elite group of proven project professionals
from around the country are coming together under one umbrella to form “RMS
ELITE”. The sole purpose of this
organization is to put a stop to project failures. All members of RMS ELITE must apply and be
